1. Who We Are
Haven City Digital is operated by Haven City LLC, based in Beaverton, Oregon. We provide websites, AI phone receptionists, Google listing help and automation services to small businesses.
2. Information We Collect
We collect only the information you voluntarily provide when you contact us or use our services:
- Contact details — name, phone number, email address, business name.
- Business info — industry, call volume, preferences you share in our forms.
- Messages — anything you write in our contact forms, emails, or texts to us.
- Phone calls — when you call our business line and we can’t pick up, or ask for a call-back in one of our forms, an AI assistant answers. These calls are recorded and transcribed. The live demo on this site works the same way and uses your microphone only while the demo is running.
- Payments — if you pay us, Stripe handles the payment. We never see or store your full card or bank account number.
- Basic web data — browser type, pages visited, IP address, and how you scroll and click, collected via Google Analytics and Microsoft Clarity for site performance only.
3. How We Use It
- To respond to your inquiry and provide services you requested.
- To send SMS confirmations, appointment reminders, missed-call follow-ups, and booking links related to your inquiry.
- To answer and follow up on phone calls, and to review recordings so the AI assistant answers better.
- To improve our website and service quality.
- To comply with legal obligations.
4. SMS Messaging
When you submit our contact form, you consent to receive SMS messages from Haven City Digital related to your inquiry. Message frequency varies. Message and data rates may apply. Reply STOP to unsubscribe at any time. Reply HELP for support. Opting in to SMS is not a condition of purchase.
We do not share your mobile phone number or SMS opt-in data with any third parties or affiliates for marketing or promotional purposes. SMS consent data is kept confidential and used solely to deliver the messages you requested.
5. Who We Share Information With
We do not sell your personal information. We share limited data only with service providers needed to run our business:
- Zoho CRM — lead storage.
- Twilio — SMS delivery.
- Retell AI — voice call handling, recording and transcription.
- Resend — email notifications about your request.
- Upstash — scheduling the call-back you asked for.
- Stripe — payments.
- Vercel, Google Analytics, Microsoft Clarity — hosting and analytics.
Each provider is bound by their own privacy terms and processes data only to deliver services to us.
6. Data Retention
We keep lead and customer data, including call recordings, for as long as needed to serve you, comply with law, and resolve disputes. You may request deletion at any time (see section 8).
7. Security
We use reasonable technical and organizational safeguards to protect your data. No system is 100% secure, but we use reputable vendors (Zoho, Twilio, Retell, Vercel, Stripe) that follow industry standards.
8. Your Rights
You can request to access, correct, or delete your data at any time. Email benjamin@havencitydigital.com and we'll handle it within 30 days.
9. Cookies
Our site uses cookies for analytics (Google Analytics, Microsoft Clarity). It also sets one cookie of its own that remembers, for 30 days, how you first reached our site, such as from our Google listing or a search engine. That short label is included with any request you send us. You can disable cookies in your browser settings. We do not use tracking for third-party advertising.
10. Children
Our services are intended for business owners 18+. We do not knowingly collect data from children under 13.
11. Changes
We may update this policy. The "Last updated" date at the top reflects the latest version.
